Hepburn Library of Madrid Board Meeting Minutes September 2, 2021

In Attendance:​

Call to Order:​ 

Meeting was called to order at 6:01 PM

Approval of Previous Minutes: 

Motion made by Emily Huntley; seconded by Susan McAvoy.  Approved.

Workshops and Communications:​  

Sept 8
Cysersecurity Awareness Training course – Deborah Chase-Lauther and Julie Gomez will attend.  Course overview includes cybersecurity threats and best practices to protect yourself and your information.

Sept 10 & 16
Summer Reading Debrief – Librarians will provide an overview of what worked, what didn’t and looking toward next year.

Sept 14
Board Basics: Come to TERMS –  Course is designed to assist trustees with organizational compliance, including bylaws, oath of office and more.

Sept 23
Navigating the new NCLS Website –  Join this course for an overview of the new NCLS website, from job listings to trainings to in-depth guides.

Sept 30
NCLS Annual Meeting – Join online to learn about Tactical Skills for Library Leaders in Political Environments.

NYS Construction Aid 2021/2022 –  Additional paperwork has been signed by the appropriate board members to accept the assurances.  Motion made to accept by Emily Huntley; seconded by Bryan Huntley.  Approved.

The NCLS Service Plan was reviewed by the board.  Motion to approve made by Emily Huntley, seconded by Susan McAvoy.  Approved.

Director’s Report:

The library budget for 2022 will be $62,291.41 (an increase of 10%).

The library has decided to keep the current summer hours as the regular year round hours, per suggestions from the public.  Motion made by Emily Huntley, seconded by Bryan Huntley.  Approved.


Financial Report:​  

Due to the early meeting date, a financial report was not available.  Emily will provide a “double” report at the October meeting.  

Community Events: 

Possible “Across the Fence” speaker recommendations include the Madrid Historical Society, or a pastry workshop led by Leo Fitzergerald.

MDMS requests a collaboration with the library to live stream from the library during the winter.  Motion to approve made by Bryan Huntley, seconded by Jenn Coakley.  Approved.

Trunk or Treat has been confirmed for October 30th from 4-6pm in the library parking lot.

Committee Reports:

  1. Buildings and Grounds:
    • Grant has been closed out regarding the boiler and water heater.
    • The lift continues to work properly.
