Hepburn Library of Madrid Board Meeting Minutes – June 2, 2022

In Attendance:

Call to Order: 

Meeting was called to order at 6:10PM

Open Comment/ Question:

Approval of Previous Minutes:

Motion made by Susan McAvoy; seconded by Allison Barkley.  Approved.

Workshops and Communications:

Deborah attended a post covid mental health workshop.     

Director’s Report:

(Deborah Chase-Lauther) 

    Leo tidied up the grounds for Memorial Day service, bill pending. The Admin office has a new wooden desk, the old one was falling apart. A generous donation was received from community member Cathy Gwinn to our Summer Reading Program.

Financial Report

(Emily Huntley): N/A

Reports:

1. Grants:
   1. Grant 1 -CCTV/Fire alarm/Generator Update – Bob Watson is adjusted ing quote to reflect our new needs;, still looking for additional quotes. Fire alarm installation complete. Johnson Controls confirmed a $514 refund. Inspection service has been canceled.
   2. Grant 2 – Kitchen – No updates on funding; responses provided to DASNY as requested for finalization of grant.
2. Buildings and Grounds  
   1. Mason Work/Roof – Awaiting visit from Coots, Deborah will call to remind.
   2. Lift – Lift worked 3x for Battle of the Books, failed to work for the final match, final match was held downstairs. Incident tracked.
3. Community Events
   1. Book Club – Meeting June 23rd 7pm, The Beekeeper of Aleppo, Christy Lefteri.
   2. Origami for all workshop, materials provided, June 27th 6pm
   3. Summer Reading – June 15th registration, Program begins July 5th – August 12th. 
      1. End of Summer Party – August 19th, looking for volunteers, suggestion was made for NHS members

Old Business

1. COVID update  – Mask mandate lifted, 30% patrons still wearing a mask.
2. Battle of the Books – Event went well.

2. Job Descriptions – Still a work in progress
